Who we are

Information we collect

• Identity and contact details you provide (name, email, phone, brigade or organisation, role, and for Field Day registrations an emergency contact name, phone, and relationship).
• Form submissions (contact messages, Field Day hosting offers and registrations, scholarship applications and endorsements, examination or article enquiries where offered).
• Account details if you register for the management portal (name, email, organisation, hashed password).
• Technical data such as approximate browser and device information that may be collected by hosting or analytics tools we use.

How we use information

• To respond to enquiries and administer membership, Council, Field Days, scholarships, and related Institute business.
• To confirm registrations and send related notices (including by email via Microsoft Graph where configured).
• To operate and secure the website and management portal.
• To meet legal or regulatory obligations where applicable.

Sharing

We do not sell your personal information. We may share it with Council members or authorised administrators who need it to carry out Institute functions, and with service providers who host this site or deliver email on our behalf, under appropriate arrangements.

Retention

We keep information for as long as needed for the purpose it was collected (for example event administration, scholarship assessment, or account management), then delete or anonymise it when it is no longer required, unless a longer period is needed for legal reasons.

Security

We take reasonable technical and organisational steps to protect information stored in our systems. No method of transmission or storage is completely secure.

Your choices

You may request access to, or correction of, personal information we hold about you, or ask us to delete it where appropriate, by emailing [email protected]. You may also unsubscribe from optional emails where that option is offered.
